As TagEnergy expanded, its leadership identified an opportunity to strengthen internal communication and knowledge management. Information and updates were being shared through multiple channels, including email, regional SharePoint sites and file shares. Over time, this made it more difficult for employees to find what they needed quickly or stay up to date with company-wide news.

The ask was more than a ‘SharePoint tidy up’. TagEnergy needed a single, modern platform that could support a fast-growing renewable energy organisation with teams working across different countries, roles and environments. Staff ranged from office-based teams to field engineers, so the intranet needed to work for people who were not always sitting at a desk.

TagEnergy wanted to unify these touchpoints into one intranet, giving everyone equal access to information and creating a more consistent employee experience.

The Vision: A Modern SharePoint Intranet

TagEnergy envisaged a single, modern intranet that would serve as the central hub for its growing workforce. The platform needed to be:

  • Easy to navigate: giving departments including Operations, HSE and HR clear places to publish updates and resources, while making it simple for employees to find the information relevant to them.
  • Accessible anywhere: optimised for mobile use and integrated into daily workflows, so remote and site-based workers could stay informed through Microsoft Teams and their mobile devices.
  • Secure and scalable: configured to support compliance requirements, future growth and ongoing management without creating unnecessary maintenance overhead.

Led by TagEnergy’s Internal Communications and IT teams, we worked together to improve collaboration and ensure that people remained connected and informed as the company continued to grow.

Delivering a Tailored Intranet Experience for a Global Team

We delivered TagEnergy’s intranet using SharePoint Online, out-of-the-box Microsoft 365 capabilities and Beacon Design – our SharePoint design tool which accelerates development and enhances the visual experience. The project followed our familiar four-phase approach: Define, Design, Delivery and Drive.

This approach meant the intranet could be shaped around TagEnergy’s real business needs, not simply deployed as a generic template. Close collaboration with Internal Comms, IT and HR helped ensure the final platform reflected how employees work, how content should be governed and how the company wanted the intranet to evolve after launch.

Aligning the Intranet to Business Needs

We started with stakeholder workshops and employee interviews to gather requirements and define success criteria. These sessions helped uncover what each part of the business needed from the new intranet.

For example, the HSE team highlighted the importance of quickly broadcasting safety alerts, while field staff requested easy mobile access to manuals. These requirements were documented alongside governance and compliance needs, giving the project a clear scope and making sure the intranet aligned with TagEnergy’s wider goals.

Creating a Branded, User-Friendly SharePoint Experience

With the requirements agreed, we worked with TagEnergy’s branding guidelines to design a clean, accessible and user-friendly interface. Beacon was used to apply TagEnergy’s colours, imagery and custom layouts within SharePoint, creating a distinctive branded experience while keeping the platform manageable for internal teams.

Together with TagEnergy’s project team, we defined the site architecture, including a main home site with hubs for regions and departments. We also established content governance, with decisions made around who would own and manage each section. This gave TagEnergy a structure that could be maintained by its own people as the business continued to grow.

Enabling Seamless Access Through SharePoint, Teams & Viva Connections

Once designs were approved, we built the intranet in SharePoint Online, configuring web parts and content without custom code. The homepage included a hero area, quick links to tools and resources, TagEnergy values and a Beacon Image Hotspot showcasing the current state versus goals across global locations.

The intranet also included dedicated pages for departments such as Operations, Projects and People, alongside reusable location page templates for TagEnergy offices. These pages gave employees practical information like office maps, local weather, useful links and key contacts.

Viva Connections integration made the intranet accessible directly through Microsoft Teams on desktop and mobile. This meant employees could open Teams on a smartphone, read the latest company news or search the intranet for a procedural document without needing to start from a separate destination.

Existing content, including policies, forms and project information, was migrated into the new structure. Permissions were configured correctly before launch, and we provided training sessions for content owners and IT administrators, alongside demos to introduce the new intranet to employees.

Supporting Long-Term Success After Launch

The intranet launched in May 2025 and we provided hyper care support during the first weeks. TagEnergy joined our Client Success programme immediately after launch, giving the team a structured way to monitor adoption, gather feedback and keep improving the platform.

One-month and three-month check-ins helped TagEnergy review usage analytics and employee input. Small refinements were made after launch, including design improvements using the latest Beacon release. We also helped TagEnergy set up a champions network, with representatives in each department encouraging colleagues to use the intranet and share useful tips.

This ongoing partnership helped make sure the intranet didn’t stand still after go-live. Instead, it continued to evolve with a roadmap of enhancements in place.
