TagEnergy partnered with us to create a modern Microsoft 365 intranet that connects its international teams, streamlines access to information, and supports a vibrant company culture. Using SharePoint Online with our Beacon design components and integrating via Viva Connections in Microsoft Teams, we delivered an intuitive, mobile-friendly hub for all company news, resources, and collaboration. The result is a single digital workplace that has boosted employee engagement, improved knowledge sharing, and provided a strong foundation for their continued growth.

Supporting a Growing Workforce with a Unified Platform

Connecting a Global Team

As TagEnergy expanded, the leadership identified an opportunity to enhance internal communication and knowledge management. The company’s information and updates were previously shared through multiple channels (email, regional SharePoint sites, file shares), which made it increasingly challenging for employees to find what they needed quickly or stay up to date with company-wide news. With staff ranging from office-based analysts to field engineers on wind farms, they sought to unify these touchpoints into one intranet to ensure everyone had equal access to information and a consistent employee experience.

Vision for a Modern Intranet

TagEnergy envisaged a single, modern intranet that would serve as the central hub for its workforce. This platform needed to be:

  • Engaging and on-brand: providing a visually appealing, TagEnergy-branded interface that employees would enjoy using.
  • Easy to navigate: with well-structured content so all departments (Operations, HSE, HR, etc.) could publish and find updates effortlessly.
  • Accessible anywhere: optimised for mobile use and integrated into daily workflows, so even remote site workers could stay informed through their phones and Microsoft Teams.
  • Secure and scalable: configured to meet compliance requirements (critical in the energy sector) and capable of growing with the organisation, without heavy maintenance overhead.

By early 2025, TagEnergy’s Internal Communications and IT teams kicked off this intranet project, aiming to improve collaboration and ensure that as the company continued to grow, its people remained connected and informed.

Delivering a Tailored Intranet Experience for a Global Team

We delivered TagEnergy’s intranet utilising SharePoint Online, using out-of-the-box capabilities and our Beacon Design module, part of our Beacon suite product, to accelerate development and enhance design. The project followed our four-phase approach – Define, Design, Delivery, Drive – with close collaboration at every stage.

Aligning the Intranet to Business Needs

We started with stakeholder workshops and employee interviews to gather requirements and success criteria. Through these sessions, we learned what each part of the business needed.

For example, the HSE team highlighted the importance of quickly broadcasting safety alerts, and field staff requested easy mobile access to manuals.

We documented all requirements (including governance and compliance needs) to ensure the intranet’s scope was clear and aligned with TagEnergy’s goals.

Creating a Branded, User-Friendly Experience

Next, we co-created the intranet’s structure and look & feel. Our team worked with TagEnergy’s branding guidelines to design a clean, user-friendly interface.

We used Beacon (our SharePoint design accelerator) to implement TagEnergy’s colours, imagery, and custom layouts on the SharePoint platform, giving the intranet a distinctive branded experience, while ensuring the colour combinations were presented in an accessible way.

Together with TagEnergy’s project team, we defined the site architecture (a main home site with hubs for each region/department) and established content governance – deciding who would own and manage each section.

This phase ensured the intranet was tailored to TagEnergy’s unique needs and could be easily managed by their staff.

Enabling Seamless Access and Adoption

With designs approved, we built the intranet in SharePoint Online, configuring web parts and content without custom code.

Key features of the intranet include:

  • The homepage features a hero web part, quick links to tools and resources, and a Beacon Image Hotspot showcasing the current state versus goals across TagEnergy’s global locations, alongside their company values.
  • Dedicated pages for departments (e.g. Operations, Projects, People), as well as a reusable ‘Locations’ page template for each of TagEnergy’s four offices, providing employees with office maps, local weather, useful links and key contacts.
  • Viva Connections integration so that the intranet is accessible directly through Microsoft Teams on desktop and mobile.

This means an engineer on-site can open Teams on a smartphone can read the latest company news or search the intranet for a procedural document seamlessly.

During this phase, we also migrated existing content (policies, forms, project info) into the new structure and ensured permissions were set up correctly.

Before launch, we conducted training sessions for content owners and IT admins and ran demos for staff to introduce the new intranet.

Supporting Long-Term Success

We launched the intranet in May 2025 and provided hyper care support during the first weeks.

TagEnergy enrolled in our Client Success programme immediately post-launch, which meant we closely monitored adoption and feedback. We scheduled a one-month and three-month check-in with TagEnergy’s intranet lead to review usage analytics and gather employee input.

Small refinements were made post-launch – for instance, our design team applied the latest Beacon release to further polish the homepage banners just before go-live. We also helped TagEnergy’s team set up a champions network, where representatives in each department encouraged colleagues to use the intranet and shared tips.

This ongoing partnership approach has ensured the intranet continues to evolve and improve after launch, with a roadmap of enhancements in place.
