Authenticator App (Microsoft 365)

The Microsoft 365 Authenticator App is a security tool designed to protect your online accounts by adding an extra layer of authentication. When logging into Microsoft services or other supported applications, the app provides a two-step verification process, ensuring that only authorised users can access sensitive information. This process is often referred to as “multi-factor authentication” (MFA), which requires something you know (like a password) and something you have (like your phone) to verify your identity.

How the Authenticator App Works

Once the app is installed on your smartphone, you link it to your Microsoft 365 account. When you log in, instead of just entering your password, you’ll receive a notification on your phone from the Authenticator App. You simply tap “Approve” on the notification to confirm your identity, or you may enter a one-time code generated by the app if you’re logging in from a different device. This means even if someone gets hold of your password, they can’t access your account without also having access to your phone.
