What Is Viva Amplify?

Viva Amplify is part of the Microsoft Viva suite — Microsoft’s platform for improving the employee experience. It’s a purpose-built tool for internal communications that brings together campaign publishing, management, and reporting into one place.

With more channels than ever — email, intranet, Teams, Viva Engage — sharing internal messages can get messy. Viva Amplify simplifies that by letting you manage the entire lifecycle of a campaign from one platform.

While it’s designed for internal comms teams, it’s also a powerful tool for HR, IT, and business leaders who need to get consistent, clear messaging out to employees.

What Can You Do with Viva Amplify?

From one place, you can:

  • Manage campaigns – View all your campaigns at a glance, schedule posts, and manage approval workflows.
  • Publish content – Work with colleagues on messaging, tailor it for different audiences, and post to multiple channels at once (Outlook, Teams, SharePoint, Viva Engage).
  • Measure results – Track engagement, see which channels are performing best, and understand audience sentiment.

What Is a Campaign in Viva Amplify?

In Viva Amplify, a campaign is simply a group of related messages that are connected by a common goal or theme.

Here are two quick examples:

  • One-off campaign: You’re rolling out a new ‘Work from Anywhere’ policy. You publish a SharePoint news post, send an email to all staff, and share a summary in a Teams channel. Those three messages form one campaign.
  • Ongoing campaign: You’re running a long-term initiative to promote company values. Each month, you highlight a story on the intranet. Each quarter, you email a roundup of those stories to the whole company. That’s a campaign, too.

Where to Access Viva Amplify?

Viva Amplify is currently only available as a web experience. Log in at microsoft365.com, and use the search bar to find the web app.

Viva Amplify is closely integrated with Microsoft Teams. Every campaign you create will allow you to set up an associated Teams channel. This means you can collaborate with everyone involved in the campaign directly from Teams, without having to navigate to Amplify each time.

Viva Amplify’s features are grouped into three core areas:

Campaign Management

Viva Amplify gives you a central space to manage every part of your communications campaign — from planning to publishing. Here’s what you can do:

Campaign Brief

Start each campaign with a clear strategy.

  • Outline your goals, key messages, and tone of voice in one shared place.
  • Your brief stays visible to everyone involved in the campaign, helping keep content consistent and aligned.
  • You can set measurable goals and track progress directly from the campaign brief.

    Invite Collaborators

    Internal comms rarely happens in a vacuum — you’re often working with stakeholders across departments.

    • Invite team members from HR, IT, Marketing (or anywhere) to your campaign.
    • Assign roles like Owner, Editor, or Approver so everyone knows their responsibilities.

    Manage Approvals

    Keep control over what goes live — without slowing things down.

    • Approvers can review content, leave comments, and choose to approve or reject.
    • Manage approvals directly in Viva Amplify or through Microsoft Teams for quick, on-the-go access.
    • The Required Approvals feature ensures every publication goes through an approval process before it’s published — giving you added governance and peace of mind.

    Get a quick snapshot of what’s happening across your campaign.

    For each message, you can see:

    • Status: Is it published, in draft, or pending approval?
    • Channels: Where is the message going — SharePoint, Teams, Outlook, Viva Engage?
    • Views: Basic engagement data for published content.

    Authoring & Publishing

    Creating and sharing content in Viva Amplify is designed to be flexible, collaborative, and efficient. Whether you’re building a quick update or a full campaign, the tools make it easy to tailor your message for multiple audiences and platforms.

    Create New Publications

    When adding a new message to a campaign, you can either:

    • Start from a template — such as newsletters, event announcements, or status updates
    • Build from scratch — and save your custom layout as a reusable template

    Templates are flexible — you can tweak layouts, edit sections, add images, make sections collapsible, and more. The publication builder uses a web part-based layout that feels familiar to anyone who’s worked in SharePoint.

    Choose Distribution Channels

    You can publish each piece of content to multiple Microsoft 365 channels in one go — saving time and ensuring consistent messaging.

    Current channels include:

    • SharePoint
    • Outlook
    • Microsoft Teams
    • Viva Engage

    Microsoft is continuing to expand channel options, so this list may grow over time.

    Customise for Each Channel

    Each platform has its own tone, format, and audience — and Viva Amplify lets you tailor your message accordingly.

    • Preview how your content will appear in each channel
    • Adjust the copy, layout, or visuals to match the context and audience of each platform
    • Choose who receives each publication — from email distribution lists to specific SharePoint sites and Teams channels

    Tip: As your campaigns build up, Viva Amplify’s analytics will help you spot patterns — like which messages perform better on Outlook vs SharePoint. Use this insight to fine-tune your content and distribution strategy over time.

    Schedule Publications

    If you’re not ready to post straight away, you can schedule your publication for later by choosing the date and time. Or, send your publication for approval.

    Reporting & Analytics

    Reach & Engagement

    See basic performance data for your campaign, like number of unique viewers and shares. You can see these stats for your campaign as a whole, or for individual publications within your campaign.

    Channel Data

    Compare how different distribution channels are performing. See views, shares and comments for each channel within your campaign.

    Sentiment Analysis

    See data on positive, negative and neutral comments and reactions across channels to understand how employees are feeling.

    Audience Data

    See how different audience groups are engaging with and responding to your campaign. Filter reporting data by attributes like location – but Viva Amplify will need to be configured to use organisational data to do this.

    Viva Amplify & Copilot

    Microsoft’s Copilot is quickly being introduced to the M365 tools we all know and love, including SharePoint, Outlook – Viva Amplify is no exception.

    A range of AI-powered features will be available in Viva Amplify. Some are already available, and some are currently in development.

    Some of the features include:

    • Copilot for editing: Copilot will make recommendations on content, tone, and style – similar to other AI content writing tools you may have tried before
    • Pre-built campaigns: For organisations looking to adopt Copilot more widely, Viva Amplify will come with two ready-made campaigns aimed at driving Copilot adoption across your company

    Viva Amplify is one of the more recent additions to the Viva Suite – so there are lots of new features currently in development. Here’s some of the key highlights, as of July 2024.

    How Much Does Viva Amplify Cost?

    Viva Amplify is part of the Communications and Communities licence, priced at £1.64 / $2.00 per user / month. This bundle also includes full access to Viva Engage and Viva Connections.

    Or, the full Viva license is priced at £9.90 / $12.00 per user / month. This option includes access to every app in the Viva suite, like Viva Goals and Viva Insights.

    Viva Amplify is not available to purchase as a standalone app.
